Although it is obviously essential to have a good repair and maintenance contract, to avoid unnecessary calls to the service department for repairs, you can follow a few simple housekeeping techniques to keep your photocopier clean and functioning, saving you the hassle of having to call out an engineer.

Step 1: Use quality products. By using a higher quality paper you will reduce any paper debris, dust and shavings inside the printer/copier resulting in less required internal maintenance. Ensure that your paper is stored in a dry place and is never inserted dirty or wet. Always load paper properly, so that it is not forced into the paper tray or feeder.

Step 2: Clean the glass on your copier regularly.  You can do this with a soft cloth which has been slightly dampened with glass cleaner.  (Do not spray this directly onto the glass.)   Also, when scanning your documents, remove all staples, paperclips or other metallic object to reduce the risk of scratching the glass.

Step 3: Keep dust and debris from the ink cartridge head. Following your manufacturer's instructions for cartridge access, you should regularly clean away dust from the ink nozzle with a small cotton bud dampened with water or surgical spirit.

Step 4: Clear any dust from the machine.  This includes dusting the inside as well as the outside. A small, fine-haired paint brush will suffice to dust the internals of the machine, including paper trays, ink cartridge locations or any other spaces not regularly accessed during use.
